Job Description
Your Role
This role will provide support to Executive Leaders in the Finance Department. This position will provide various technical and administrative support functions as required. The Administrative Assistant will demonstrate an eagerness to learn, possess the skills and desire to ensure accuracy, and be a self-paced problem solver who is always looking for better ways of conducting our business and serving our clients. This role will be an integral part of the administrative team and will collaborate across functional areas.
You Will Be Responsible For:
Proactive management of the Leaders’ calendar
Coordinate meetings including meals and in-office logistics
Maintain structure and schedule of meetings for key leadership meetings and committees
Assist in creating materials such as PowerPoint presentations for key meetings
Comprehensive travel management, including booking travel and maintaining schedules
Manage expense report and invoice review and approval
Event planning for department meetings, including meals and activities
Create Requisitions and Purchase Orders
Assist with the onboarding of new hires to the Finance team
Develop an understanding of areas of importance to leaders and plan accordingly
Provide proactive administrative support to leaders for upcoming meetings, including reminders about to-do items and ensuing materials are prepared and shared prior to meetings
Prioritize email messages sent to leaders and notify leaders of necessary actions, when necessary
Serve as primary point of contact for leaders and prioritize requests
Occasionally provide team-wide support to Executive leaders and their respective teams
The Experience You Bring:
10+ years administrative/professional office experience
Advanced computer skills in Microsoft Office (Word, Excel, PowerPoint) and Microsoft Teams
Ability to multi-task under pressure with proven organizational skills
Ability to learn new software packages as needed with the expectation to be proficient in a short amount of time
Proven communication skills, both verbal and written
Ability to prioritize work and meet tight deadline
Ability to self-motivate and establish personal deadlines
Strong written and verbal communication skills and ability to engage a variety of audiences, internally and externally.
Ability to build strong relationships with team and other key constituents.
Ability to thrive in an environment of change and be open to new challenges and opportunities
Effective interpersonal skills necessary to effectively collaborate with others
Undergraduate degree preferred
