This position is responsible for ensuring a coordinated approach and support of project/product delivery. The position will work closely with project managers and a team of multi-disciplinary communications and digital specialists in the Strategic Communications and Digital Engagement (SCDE) group of the Federal Reserve Bank of Philadelphia. The role supports and assists the SCDE Department, Project leads, SMEs, and business lines by monitoring the workflow from Partner request to delivery. The position will also contribute to project coordination activities and documentation. The position reports to the Digital Project Manager.

The Strategic Communications & Digital Engagement team is a full-service in-house communications and digital unit that advances the Bank’s communication strategy. We support the Philadelphia Fed’s public service mission by effectively presenting and communicating its research, data, and thought leadership to key stakeholders and the general public. * Essential Duties

  • Reviews, triages, and routes incoming communications requests for the department.
  • Main point of contact for SCDE team for project management software; Escalates and triages issues and requests as appropriate.
  • Engages with the team to ensure all requests in the project management software have the correct inputs and accompanying forms to facilitate compliance with department procedures.
  • Engages with partners across the Bank at different stages of project/product life-cycle.
  • Creates or assists project manager in creating multiple project plans, schedules, and assignments.
  • Develops, updates, and/or maintains documentation.
  • Reviews and reports out on resource allocation across SCDE portfolio to project manager and leadership
  • Assists project managers and partner relationship managers in the planning and support of project team, vendor and leadership meetings, requirements gathering and documentation.
  • Possesses the ability to meet directly with Partners and project teams to gather and/ or share information and expectations.
  • Proficient and experience with or ability to learn project management software (e.g., Asana, Basecamp, Jira, Workfront)
  • Monitors project management tool for health of project portfolio and proactively identifies issues
  • Responsible for the maintenance and quality control of data inputs through a project management software to assure consistency in process and reporting.
  • Leverages knowledge and understanding of web, messaging, creative, and development standards to facilitate effective communication between departmental teams.
  • Onboards new team members to the service model and project management software.
  • Supports collaboration, shared learning, and continuous improvement activities across departmental teams related to process and project management
  • Informs project manager and project teams of project status, changes, deadlines, challenges.
  • Plans and facilitates project related meetings
  • Creates and maintains reports and documentation
  • Prepares reports and project updates for various levels of the organization.
  • Onboarding and offboarding of team members to the partner relationship model process and project management tool
  • Demonstrated experience facilitating meetings and brainstorming independently or as part of a team
  • Performs other duties and ad hoc projects as assigned or requested.

Qualifications:

  • Bachelor’s Degree preferred and a minimum of 3 years of relevant experience. Education may be substituted for additional years of experience. Minimum of 3 years of relevant experience preferred.3+ years of related work experience
  • Knowledge of waterfall and agile project management methodologies a plus
  • Proficient in Microsoft Office Suite
  • Proficient in project and resource reporting and analytics
  • Proficient in project management software or equivalent (E.g., Asana, Basecamp, Jira, Workfront)
  • Professional interpersonal skills, written and verbal communication, ability to network and establish rapport across all levels of the organization
  • Ability to prioritize and manage multiple milestones and projects efficiently
  • Organized and deadline driven
  • Detail oriented
  • Demonstrated track record of working on projects where influencing and facilitating engagement with individuals not under your direct authority is critical for success

The salary grade for this position is: 11.
