What we do:

The Markets Group Workforce Administration team is dedicated to providing high-quality administrative assistance to support business area clients that is timely, responsive and meets the needs of each Markets Group Function. Reporting to the Business Operations Manager, you will assist in providing support to one of the nine functions within the Markets Group.

Your role as Administrative Assistant:

  • Provide administrative support services to the Markets Group, supporting individuals, small teams, and departments.

  • Manage and coordinate complex schedules as required by individual(s) supported to schedule and resolve appointment conflicts for internal and external meetings with leaders, staff, and stakeholders

  • Maintain function/team calendars and mailboxes.

  • Coordinate with meeting host and/or team leads to determine all meeting logistics including town halls, business lunches/dinners, volunteer, social, and network events.

  • Provide backup coverage for other administrative staff within the Group which may include providing backup support to the EA of the Markets Group Head

  • Exercise discretion when handling FOMC and other sensitive and confidential information

  • Coordinate domestic and international travel via on-line tool or with travel consultant.

  • Perform centralized administrative duties such as sorting and distributing mail, pantry maintenance, maintain inventory and place orders for office and other supplies

What we are looking for:

  • Foundational experience as an administrative assistant

  • Must be a self-starter with strong attention to detail and follow-up skills.

  • Effectively manage multiple assignments, meet deadlines, coordinate multiple calendars, and schedule a high-volume of internal and external meetings.

  • Ability to think strategically when managing and prioritizing assignments, requests, tasks, and projects.

  • Excellent customer service with ability to take initiative and accomplish requests proactively and effectively

  • Ability to work independently and as part of team with minimal supervision to resolve day to- day administrative matters with strong problem-solving skills.

  • Communicate and engage appropriately with all levels of management, including high-level official contacts and visitors.

  • Excellent judgment and discretion in handling sensitive data and confidential information.

  • Facilitate meetings virtual, onsite, and hybrid environment and provide back up support to the Group’s administrative support services team.

  • Strong prioritization and organizational skills.

  • Ability to leverage technical knowledge including, proficiency in MS Office (Word, Excel,PowerPoint, Visio and Teams) and other Bank applications used by the Administrative Team, such as Workday and SharePoint.

Salary Range: $80000 - $100000 / year
