Who are we?
We are a project support and governance team that helps delivery teams run projects in a structured, predictable, and compliant way. We partner closely with Project Managers, project teams, and line management to keep delivery on track — coordinating the day‑to‑day administration, documentation, and reporting that enables effective decision‑making and smooth execution.
What motivates us?
We thrive on bringing order to complexity. Whether it’s keeping a project plan accurate, ensuring risks and issues are visible, or coordinating key meetings and follow‑ups, we create clarity and momentum for delivery teams.
A strong PMO function supports better outcomes — through consistent governance, reliable reporting, and proactive coordination that improves productivity, quality, and stakeholder satisfaction.
About the role:
As a PMO Coordinator, you will provide project administration support to help ensure projects are carried out according to plan. You will act as a liaison between project management, project teams, and stakeholders, supporting tracking, reporting, and project coordination activities. You will also help maintain project documentation and governance records, while proactively identifying issues and supporting timely resolution.
What you will be doing:
Supporting Project Managers with day‑to‑day project administration to keep delivery aligned with plans, timelines, and agreed procedures
Entering and updating project plan data and related documentation (e.g., risks, issues, governance logs) in databases and/or the system of record
Monitoring adherence to standard implementation procedures, policies, and control mechanisms; escalating when required procedures are not followed
Tracking project progress against milestones and escalating risks to timelines, scope, or deliverables when milestones are not being met
Coordinating project meetings by scheduling sessions, preparing agendas, supporting logistics (including conference rooms, virtual setup, and travel/site visit arrangements where needed)
Attending meetings, capturing notes on decisions, issues, risks, and actions; distributing minutes and following up to obtain updates and drive closure of action items
Producing and distributing project status and delivery reports to stakeholders (including schedule and budget‑related information, where applicable)
Maintaining project collaboration spaces (e.g., SharePoint sites) and ensuring documentation is filed accurately and systematically
Supporting monitoring mechanisms for project progress and assisting with intervention/problem solving alongside Project Managers, line managers, and clients (as applicable)
Making recommendations that may occasionally require slight deviation from accepted practice, within agreed guidelines
What you will need:
Typically 2+ years of relevant experience (e.g., experience in an administrative or project support environment)
Excellent English communication skills
Strong organizational skills and attention to detail, with the ability to manage multiple priorities simultaneously
Confidence in coordinating stakeholders, meetings, and follow‑ups in a structured way
Comfort working with logs, documentation, and reporting (risks, issues, actions, governance records)
Ability to identify gaps or inconsistencies, ask for clarification when needed, and escalate appropriately
Solid understanding of the importance of policy and procedure adherence in project delivery
Ability to work with limited daily instruction and take ownership of routine to moderately complex assignments
What we offer you:
At FIS, you can learn, grow and make an impact in your career. Our benefits include:
Flexible and creative work environment
Diverse and collaborative atmosphere
Professional and personal development resources
Opportunities to volunteer and support charities
Competitive salary and benefits
