As part of JPMorganChase's Receivables Operations team, your work as a Lockbox Operations Associate directly safeguards client mail integrity and ensures timely, accurate processing of critical financial documents. As a Lockbox Operations Associate in Receivables Operations – Lockbox Operations, you will support the full lifecycle of lockbox mail handling, from receiving and securing incoming mail to reconciling and preparing outbound client return packages. Your attention to detail and adherence to controlled procedures will be essential to maintaining accurate reporting and protecting sensitive client information. This role offers a dynamic, production-based environment where your reliability and precision make a direct impact every day.

Job responsibilities

  • Receive and secure incoming mail, including first-class and courier/company packs, maintaining required controls from delivery through secure placement in the mailroom.
  • Perform dual-control intake steps, including verifying delivery ID, counting trays/tubs, reconciling to the manifest, and signing and retaining required documentation.
  • Consolidate and prepare mail for processing by separating flats/bulk from standard envelopes and maintaining accurate tray/tub counts in required logs.
  • Color-code (stripe) mail based on defined day/time rules, including weekend and holiday rules, to support correct handling and tracking.
  • Report incoming volume and update entries after mail is sorted, following required input fields, timing rules, and credit-date assignment rules.
  • Sort and distribute mail to production using the site's process (APEX sorter or hand sort), place sorted mail into trays, and deliver to the production floor.
  • Handle mail exceptions such as flats/bulk, handsorts, closed/forwarded/missort mail, and invalid lockbox number mail using the lookup/validation process and return-to-sender steps when required.
  • Reconcile and prepare outbound (mail out) returns by pulling return items by lockbox, matching physical items to system records, and confirming items listed on return slips are present before packaging.
  • Follow client packaging and mailing instructions, including special packaging and alternate address instructions, and print/fold address labels correctly for window envelopes.
  • Prepare shipments by applying address labels and printing/validating courier shipping labels; stage and deliver completed packages to mail services, courier, or USPS based on site pickup timing.
  • Maintain segregation and control during packaging, handling one lockbox at a time to reduce the risk of inadvertent PII disclosure.

Required qualifications, capabilities, and skills

  • Strong attention to detail and ability to follow controlled procedures to maintain mail integrity and accurate logs.
  • Ability to work with operational systems and tools for reporting and processing.
  • Ability to follow client-specific packaging and shipping instructions while maintaining required segregation and controls during packaging.
  • Comfortable working in a time-sensitive production environment with shifting priorities across mailroom and mail out duties.

Preferred qualifications, capabilities, and skills

  • Prior experience in lockbox operations, mailroom operations, or a related banking/financial services environment is preferred.

Schedule: Monday-Friday 9am-5:30pm

This position may require you to work non-traditional hours and/or additional hours as business needs arise. Work schedule might be subject to change.
