Job Description

Provides a broad range of administrative, operational, and office support services for the Impact Finance Chief Administrative Officer (CAO) and the broader CAO organization, as well as the Director of Shared Services. This role supports executive operations, employee experience, and day‑to‑day business continuity across Impact Finance, serving as a key point of coordination for leaders, team members, enterprise partners, and visitors.

Responsibilities include administrative support for senior leaders, coordination of meetings and events, management of communications and documentation, and operational support related to facilities, logistics, and employee needs. This role will also provide front desk and reception coverage as needed, serving as a first point of contact for visitors and employees in the St. Louis office location.

The Administrative Assistant plays an important role in ensuring a professional, organized, and efficient environment that enables Impact Finance leaders and teams to focus on strategic priorities.

Key Responsibilities

  • Provide direct administrative support to two senior executives: the Impact Finance CAO and the Director of Shared Services -- including calendar management, meeting coordination, travel arrangements, and expense support
  • Support meetings, town halls, leadership sessions, offsites, and employee experience activities, including room scheduling, materials preparation, and logistics
  • Prepare, edit, and distribute correspondence, presentations, reports, and other documentation for leadership and broader CAO initiatives
  • Track action items, information requests, and deadlines to support effective follow‑through across CAO‑led efforts
  • Support operational and business continuity activities such as facilities coordination, office supplies, employee onboarding/offboarding logistics, and general office administration
  • Serve as a liaison for routine requests between Impact Finance teams and enterprise partners (e.g., HR, Finance, Technology, Facilities)
  • Provide front desk and reception coverage as required, including greeting visitors, managing guest check‑in, monitoring shared mailboxes, etc.
  • Maintain confidentiality and exercise sound judgment when handling sensitive information and executive matters
  • Support special projects and ad hoc requests aligned to CAO priorities and Impact Finance initiatives

Basic Qualifications

  • High school diploma or equivalent
  • Typically five or more years of experience in administrative, executive assistant, or office support roles

Preferred Skills / Experience

  • Experience supporting multiple senior leaders and interacting with a wide range of stakeholders in a professional setting
  • Well‑developed reading and writing skills
  • Strong organizational skills with the ability to manage multiple tasks, priorities, and deadlines simultaneously
  • Demonstrated administrative, clerical, and office coordination capabilities in a fast‑paced environment
  • Ability to identify issues, resolve exceptions, and organize information into clear, usable formats
  • Effective verbal and written communication skills with attention to detail and professionalism
  • Proficient computer navigation skills using Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Teams, SharePoint)
  • Customer‑service mindset appropriate for front desk and visitor‑facing responsibilities
  • Ability to stand for extended periods of time and may be required to lift bags/boxes of coin weighing up to 50 pounds

Location Expectations
The role is in-office 5 days a week to manage the front desk reception area and welcome visitors.

The salary range reflects figures based on the primary location, which is listed first. The actual range for the role may differ based on the location of the role. In addition to salary, U.S. Bank offers a comprehensive benefits package, including incentive and recognition programs, equity stock purchase 401(k) contribution and pension (all benefits are subject to eligibility requirements). Pay Range: $22.50 - $30.00
